How to use PandaDoc public templates

Focus:  The focus of this self-help article is to provide steps and information on how to use PandaDoc public templates.

What are public templates?: Public templates are documents that the PandaDoc team have already created, setup and ready to go to be used inside of PandaDoc. With over 100+ documents to use and more coming everyday, it’s a once stop place for your document needs.

Step 1:  Accessing public templates. PandaDoc’s public templates can be found by going to

Step 2: Finding the template and viewing the template. You can use the Category names at the top to find the template, or you can scroll down for sections. Once you find your template, click on the template Name or “Download”.

Step 3:  Template review and add to your PandaDoc account. Here you will see an overview of the template, who created it and other links for other templates. To use the Template, click on “GET THIS TEMPLATE”.   If you got a few minutes, be sure to “Share” it with your social media channels, found on the left.

Step 4: Importing template into the PandaDoc builder. You will see all the text and content of the template has been automatically been created in PandaDoc, using the PandaDoc builder. Now, you can click in each text sections to modify content or use the content options on the right.

Step 5 Using fields.  Be sure to go through the document and all the fields are added, or you can add your additional fields as well.

Step 6: Using tokens Throughout the document you will see in Yellow [XXXXX], these are tokens. What are tokens?:  A token is piece of code that you can insert into a “content block” that will auto-fill your information. For example, if you have filled out the Client fields (First Name, Last Name, Company Name, Email address) for your client contact, you can insert in a token to auto-fill that in your proposal.  Custom tokens can also be created.

Step 7: Creating a document from this template. When you gone through the template, made any changes and now you are ready to use this for a document. Click on “Create Doc” on the right.

Step 8-A: Add Recipients to the Roles. Add recipients to the Roles. You can also add more recipients that will not be tied to any roles and you can “Add me as a recipient” as well. Click the Green “Next”, when you are ready.

Step 8-B: Document tokens to fill out to be used for the document.  As mentioned in Step 6, tokens have been used for this document. Now, you will see the “Review tokens” window that tells you to how many unfilled tokens are used in the document. Click on “Review and Fill” to fill those tokens so they will be used throughout the document.

Step 9: Final document review and send. You will see that your tokens have been filled out. However, you can also do a final edit if needed. When you are ready to Send, click the Green “Send” button on the right.

Congratulations, you have used a PandaDoc public template. Templates added will also be in your account for future use and can found by clicking on templates on the left!
