Call prep brief generator

Call prep brief generator

You have a check-in call coming up. You know the account, but you want to walk in knowing what you discussed last time, what you promised to follow up on, and what's happened at their company in the meantime.

Tell the account manager call prep prompt who you're meeting, the context from your last conversation, and any updates since then. It builds a six-section internal brief covering recent wins to reference, open items on both sides, your goal for the call, questions to weave into the conversation, and how to open and close.

AI prompt for call prep

Copy and paste the prompt below into Claude or ChatGPT.

I'm an account manager preparing for a regular check-in call with a customer. Help me build a quick internal prep brief.

Before asking me to fill anything in:
1. Check any memory or context files you have access to (account plans, stakeholder maps, prior notes) for existing information about this account and contact. Present what you find as assumptions for me to confirm — only ask for what's missing.
2. Search the internet for recent news about this company (past 90 days): funding, leadership changes, acquisitions, layoffs, product launches, press coverage. Surface anything relevant before building the brief.

If you don't have access to memory or search, I'll provide everything below.

---

WHO'S ON THIS CALL
Contact name and title: [name, title]
Relationship strength: [strong / building / surface-level]
Account name: [name]
ARR and renewal date: [$X ARR | renewal in X months]

LAST CONVERSATION
When you last spoke: [date or timeframe]
What was discussed: [summary or paste notes]

SINCE THEN
Wins, usage signals, or positive updates: [what's gone well since you last spoke]
Support issues, complaints, or concerns raised: [anything unresolved or flagged]
Their company news: [anything you know about — leave blank if you want Claude to search]

OPEN ITEMS
What I promised or said I'd follow up on: [from last call or recent emails]
Anything the customer raised that's still unresolved: [if any]

MY GOAL FOR THIS CALL
[What do you want to walk away with? Even "just make sure she's happy" is a valid answer.]

---

Build a 6-section internal call prep brief:

1. QUICK CONTEXT — two sentences: who's on the call, relationship strength, when we last spoke. Add a one-line renewal flag if renewal is within 6 months.

2. WINS TO REFERENCE — 2–3 wins selected for what this specific person cares about, framed as outcomes they value (not features I'm proud of). Use placeholders if I haven't given you specifics, and flag them clearly so I fill in real numbers before the call.

3. OPEN ITEMS — split into two sub-sections:
- My commitments (what I promised, whether it's done, whether I need to address it on this call)
- Customer-raised items (what they flagged that wasn't fully resolved — these matter more)

4. GOAL FOR THIS CALL — one clear primary goal. If I wrote "just check in," reframe it into something actionable. Add a secondary goal separately if there is one.

5. QUESTIONS TO WEAVE IN — 2–3 listening and deepening questions appropriate for an existing relationship (not first-call discovery). Tailored to this person's role and priorities. Should feel natural in conversation, not interrogative.

6. HOW TO OPEN · HOW TO CLOSE
- Opener: 2–3 sentences I can use or adapt — specific to this person and something recent (a win, something from the news search, something they said last call). Not "how are things going."
- Closing ask: one concrete next step to propose before hanging up (a date, a follow-up, an intro — not "let's stay in touch")

Keep the whole brief scannable in 2–3 minutes. This is internal only — not something I'm sharing with the customer.
