PandaTip: This Sponsorship Proposal Template is written in the context of pitching a sponsorship deal to a business for a particular event, be it a conference, sporting event, or otherwise. It is important when writing such proposals to hit home with the target and explain to them exactly why their product or service being featured within and associated with your event would help them, so keep that in mind when drawing up this proposal.

ABOUT US:

[COMPANY] is a [LOCATION]-based company that has offered [PRODUCT OR SERVICE] for over [NUMBER] years. We are dedicated to [OVERVIEW OF SALES COMPANY’S MISSION]. We believe that a strategic partnership with [SPONSOR COMPANY] at [EVENT] will be mutually beneficial to both of our companies.

[EVENT]:

As stated above, [COMPANY] would like to propose that you come in as a sponsor for our [EVENT]. [EVENT] is [DESCRIBE EVENT] which will be occurring on [DATE]. As you are in [SPONSOR’S INDUSTRY], we feel that you would be a great fit and [EVENT] would be an outstanding opportunity to raise your brand’s awareness.

WHAT SPONSORSHIP OF [EVENT] CAN DO FOR YOU:

As a featured sponsor, [SPONSOR COMPANY] would be prominently featured in front of a crowd of an estimated [ATTENDANCE ESTIMATE], many of whom are part of your target market. As you can see from the nature of [EVENT], it is clearly apparent how [SPONSOR COMPANY] will benefit from this relationship:

PandaTip: Here, I would suggest coming up with a bulleted list of ways that the potential sponsor will specifically benefit from the event. Focus on the unique benefits of sponsorship in your sponsorship proposal, the type of consumer that will be present at the event, etc. It is just of paramount importance that it such benefits are specific to the potential sponsor.

[EVENT] SPONSORSHIP CONTRACT

This [EVENT] Sponsorship Contract (the “Contract”) states the terms and conditions that govern the contractual agreement between [COMPANY] having its principal place of business at [COMPANY ADDRESS] (the “Company”), and [SPONSOR] (the “Sponsor”) who agrees to be bound by this Agreement.

WHEREAS, the Company is conducting [EVENT], [DESCRIPTION OF EVENT], on [DATE] (the “Event”); and

WHEREAS, the Sponsor agrees to sponsor the Event according to the terms and conditions herein.

NOW, THEREFORE, In consideration of the mutual covenants and promises made by the parties hereto, the Company and the Sponsor (individually, each a “Party” and collectively, the “Parties”) covenant and agree as follows:

  1. SPONSORSHIP. The Company shall feature the Sponsor in the manner described on Schedule A attached hereto.

PandaTip: There are many ways which you may feature the Sponsor at your event and your sponsors will want this clearly laid out in the sponsorship proposal agreement. You can describe the manner in which you will feature them on the schedule attached hereto in plain language. The only thing that matters is that you have a mutual understanding of the language you include in such description.

  1. PAYMENT. The total cost to be paid to the Seller by the Purchaser for the sponsorship shall be [WRITTEN DOLLAR AMOUNT] dollars ([NUMERICAL DOLLAR AMOUNT]). The dates on which payments are due are listed on the payment schedule attached hereto as Schedule B.

PandaTip: You may break up the payments in any manner that works for you or you can require that they pay the full sum upfront. Just enter the dates and amounts in the schedule.

  1. DEFAULT. The failure to make any payment on or before the date indicated on the payment schedule attached hereto as Schedule B shall be considered a full and material breach of this Sponsorship Contract.

PandaTip: By specifying that the payments need to be made strictly by the schedule attached or a material breach will result, it gives the Seller the option to declare the contract broken and file a lawsuit if payments are even a day late, thus making it less likely that the Purchaser will delay making payments past the due date.

  1. PROMOTION. The Sponsor hereby authorizes the Company to utilize the Sponsor’s logo and associated trademarks, approved versions of which the Sponsor agrees to provide to the Company in a timely manner, in promoting the Event.

  1. SPONSOR PRESENCE AT EVENT. The Sponsor [IS REQUIRED/IS NOT REQUIRED] to send a representative to the Event.

PandaTip: Depending on the nature of the Event, it may be preferable to require certain sponsors to attend the Event to answer questions about the sponsor and offer certain services. In such a case, you want to describe any other requirements if any (e.g., “…to send a representative to the event to participate in a question and answer session from 4-6 PM on Monday June 13”). For example, at a real estate investment group’s event, sponsor attorneys may be asked to remain on-site during certain hours of the event to hold free form discussion with the visitors of the Event about the legalities of receiving investment capital.

  1. NO MODIFICATION UNLESS IN WRITING. No modification of this Sponsorship Contract shall be valid unless in writing and agreed upon by both Parties.

  1. APPLICABLE LAW. This Sponsorship Contract and the interpretation of its terms shall be governed by and construed in accordance with the laws of the State of [STATE] and subject to the exclusive jurisdiction of the federal and state courts located in [COUNTY], [STATE].

IN WITNESS WHEREOF, each of the Parties has executed this Sponsorship Contract, both Parties by its duly authorized officer, as of the day and year set forth below.
