PandaDoc pricing: an honest value breakdown

PandaDoc pricing: an honest value breakdown

PandaDoc is a great value for growing teams that treat proposals, e-signatures, payments, and document tracking as one connected business process. The platform may cost more than basic e-signature software, but it can replace multiple tools and manual workloads.

For solo operators and occasional signers, PandaDoc’s lower-tier plans can be useful, but they may offer more functionality (and cost) than the job requires.

What each PandaDoc plan includes

PandaDoc offers four plans to fit different levels of document volume and workflow complexity.

As with most platforms, higher tiers unlock more complex and dynamic features. Freelancers, small teams, and low-volume senders may find that the Free or entry-level Starter plan is a good fit, but most sales teams should consider the Business plan as the first realistic step to manage their proposal workflow.

Free eSignature plan

The Free plan is built for individuals and small teams that only need basic document signing without a paid subscription. Users can send up to five documents per month (60/year), with a maximum of two recipients per document.

Key features include:

  • Legally binding e-signatures. Teams can upload documents and use the built-in document editor to add basic e-signing fields, track document status, and collect legally binding digital signatures.

  • Up to five reusable templates. Saving frequently used documents lets users repeat workflows quickly instead of building every new agreement from scratch.

  • Unlimited users and document storage. Team members can be added to the free plan at no charge, and completed documents are retained without cost for additional seats or storage.

Teams on the Free plan can also use the Free API plan, which has the same restrictions but can be useful for low-volume users or developers testing integrations.

PandaDoc’s free solutions are strong, practical options that are competitive with entry-level paid plans offered by other platforms like Docusign. However, access to the document editor is restricted, and the two-recipient cap means that more complex document workflows won’t align with the plan restrictions.

PandaDoc Starter

The Starter plan costs $19 per user/month when billed annually and removes the yearly sending limit found on the Free plan. Users on all paid PandaDoc plans enjoy unlimited sending and e-signing, without platform-imposed usage caps or restrictions commonly seen on other e-signing platforms.

Users on this plan also gain full access to PandaDoc’s full suite of document creation tools. While uploads are still possible, these tools give users everything they need to create documents from scratch without ever leaving the platform.

Key features include:

  • Unlimited documents and e-signatures. Users can create, upload, send, and sign as many documents as their workflow requires.

  • Drag-and-drop document editor. Build editable documents using text, images, fields, themes, and rich media. Configure finished documents for e-signing, and send to multiple recipients.

  • Theming tools. Set standardized themes that can be applied quickly to documents, saving time and creating a consistent look during formatting and document creation.

This plan suits relatively simple document workflows. It still carries the five-template limit seen in the Free plan and lacks integration support.

Advanced tools like detailed analytics, approval routing, and custom branding are also disabled. Users will get added design flexibility, but plan restrictions will ultimately limit the automation and tracking they can add to the sales process.

PandaDoc Business

The Business plan costs $49 per user/month with annual billing and adds a variety of advanced, team-based features to optimize both documents and document workflows. This is the most popular PandaDoc plan, as it provides an ideal balance of features for cost and scales well across teams of all sizes.

Key features include:

  • Native CRM integrations. Users can connect PandaDoc with popular CRM platforms, including Pipedrive and HubSpot. Salesforce integration is also available for an optional fee.

  • Quote Builder and payment collection. Teams can use the Quote Builder to provide cost breakdowns and itemized totals on quotes and proposals. With a payment integration, PandaDoc documents can also collect and process payments without a second invoice.

  • Approval workflows and collaboration tools. For teams with users at multiple levels or within multiple departments, the Business plan’s approval and collaboration tools give teams options in how they build documents together and can add extra checkpoints to the workflow before a document is sent to external stakeholders.

  • Optional add-ons. Several optional (paid) add-ons are also available, including extra integrations and automations. Teams on the Business plan can add these Enterprise-level features without stepping into a custom plan.

The versatility of the Business plan makes it a strong fit for most business workflows. The customization and backend organization it provides let teams build stunning documents, configure guardrails, and collaborate across the document lifecycle.

Teams only needing basic document creation or e-signatures may not use enough of the Business plan’s features, but this plan can also be a strong solution for power users at smaller organizations, such as a one- or two- user sales team, where the team is small but can benefit from backend automation tools.

PandaDoc Enterprise

The Enterprise plan is PandaDoc’s custom-configured solution. This option doesn’t offer public pricing because one of our product experts configures the plan individually to match the business's exact needs.

Want to learn more about the Enterprise plan? Talk to our team.

The Enterprise plan includes everything in Business and adds advanced automation, quoting, security, and workspace controls for organizations with more complex document workflows.

Key features include:

  • CPQ and workflow automation. Teams can configure complex quotes, automate document steps, and reduce manual work across longer sales or contract processes.

  • Smart content and team workspaces. Content can be configured to display based on deal conditions while teams can have different setups, templates, and users spread across separate departments or business units.

  • Enterprise controls and integrations. Additional controls for single sign-on, API access, notary capabilities, and other tools make Enterprise a strong fit for larger or more regulated organizations.

Enterprise will make the most sense for companies that need to coordinate document workflows across multiple teams, systems, or approval structures. Teams can also incorporate powerful add-on modules like CPQ to upgrade their entire sales workflow.

Who counts as a paid PandaDoc user?

Paid users are those who have an assigned seat under a paid PandaDoc plan.

Depending on the plan, these users can be assigned different roles, such as admin, manager, or team member. Enterprise solutions can also create custom roles and assign specific permissions to those roles.

Any user with an assigned seat counts as a PandaDoc user, regardless of role.

However, PandaDoc also offers access to the Collaborator role. This role is for users outside the organization who do not have a seat. They can access, view, and comment on documents shared with them, but can’t create documents or access backend systems in the PandaDoc workspace.

Is PandaDoc expensive? A closer look at the cost

In terms of cost, PandaDoc sits in the middle of the pack when compared to other solutions.

At $49/month, the Business Plan costs roughly as much as Docusign’s Business Pro e-signature plan ($45/month) and is slightly more expensive than Proposify’s Team plan ($41/month). Other solutions are less expensive.

That said, comparing the plans by seat price alone leaves out an important part of the calculation.

PandaDoc combines a variety of tools and solutions for the document process into one platform. This section looks at factors beyond subscription price to consider the total cost of building and maintaining an equivalent document workflow.

The cost of an independent document stack

The key differentiator between PandaDoc and other platforms is that PandaDoc acts as an all-in-one, end-to-end solution for document creation.

Users can create or upload documents, collaborate with both internal and external stakeholders, collect e-signatures, accept payments, and store completed documents without moving the workflow to another platform. That matters because teams using more specialized tools may need multiple subscriptions to support the same process.

A complete document workflow typically requires four core capabilities:

  • Document creation. Build proposals, agreements, quotes, and other client-facing documents.

  • Sharing and collaboration. Collect feedback and coordinate changes before sending a document.

  • Secure e-signatures. Route completed documents to the appropriate recipients and track signing activity.

  • Payment collection. Let customers submit deposits or payments as part of the agreement process.

Some platforms combine several of these functions. For example, Docusign Business Pro supports e-signatures and payment collection, while Proposify combines proposal creation with e-signatures.

The problem arises when a platform lacks a required capability or places it behind another plan, add-on, or usage limit. When that happens, teams need to purchase additional tools and components separately, which leads to a cumulative monthly total that is usually more expensive than what PandaDoc offers for a single plan.

A simple breakdown looks like this:

Need

Tool

Cost

Document creation

Microsoft 365

$32/month per user

Sharing and collaboration (pre-signing)

Email

Varies by provider

Secure e-signing + Payment processing

Docusign Business Pro

$45/month per user

This example doesn’t mean that every company will save money by replacing its existing stack. Many teams use Microsoft 365 for meetings, email, and other work that PandaDoc can't replace.

At the same time, evaluate PandaDoc costs against an entire document stack, not just an e-signature subscription. If a team is purchasing multiple tools specifically to create, send, sign, track, and collect payments on documents, that cumulative cost often exceeds the price of the PandaDoc Business plan.

PandaDoc brings those core document functions together, ultimately reducing the number of platforms that teams will need to connect and manage.

Limits, blockers, and add-on costs

Another factor to consider is that an advertised price may only be the starting point of a true comparison. Before choosing a platform, teams should look for limitations that could block their workflow or incur additional, unexpected costs.

Generally, these blockers fall into three main categories:

  • Usage limits. Some plans cap document or envelope sends and charge for additional volume.

  • Integration fees. A CRM connection may require a higher plan or a separate per-user add-on.

  • Advanced service fees. Identity verification, SMS delivery, API sends, and other specialized functions may be charged separately.

Docusign illustrates this in a very clear way with its transaction limits. The Business Pro plan ($45/month) includes 100 envelopes per user/year. Users sending more than the default amount will incur additional charges and fees for exceeding those limits.

Many of these costs will vary by plan or by platform, and some limitations (and associated costs) are more transparent than others.

Add-ons also aren’t always a bad thing. PandaDoc offers multiple add-ons for the Business plan that come with additional costs. This approach lets teams that need a single, specific feature use it without moving to a custom plan.

Regardless of which plan you choose, it’s worth the time to review the additional services and features so that you have a realistic view of monthly costs.

Annual vs monthly PandaDoc pricing

Like most platforms, PandaDoc offers monthly and annual billing options for its default plans.

The price difference is substantial, with savings up to 46%, depending on the plan. Starter costs $35 per user with monthly billing and $19 per user per month when billed annually, while Business falls from $65 to $49 per user per month.

For a five-person team on Business, annual billing reduces the subscription cost from $325 to $245 per month, a difference of $80 per month and $960 over a full year! That makes the annual rate the more relevant figure for established teams planning to use PandaDoc over the long term.

Monthly billing, while not recommended for long-term commitments, can give teams added flexibility when evaluating a platform. It’s easy to subscribe for a month or two, test drive the software in daily operations, and then decide whether to commit.

However, it’s worth comparing PandaDoc with annual rates offered by other competitors, because the same push for long-term commitments will apply to other platforms as well.

But I only need e-signatures

Realistically, if e-signature features are the only capabilities a team needs, a solution like PandaDoc Business won’t offer the best value.

Lower-volume users can use the PandaDoc Free plan to send five documents per month and capture legally binding e-signatures at no cost. However, users who need higher signing volume but none of PandaDoc’s document or workflow features may find dedicated e-signing solutions a better fit.

How PandaDoc pricing compares for different teams

Overall, PandaDoc’s costs will make more sense for some teams than others.

The platform provides strong value when documents are part of a repeatable workflow, and most of that process is self-contained within the platform. For users who only need to collect the occasional e-signature, the kitchen sink of tools in PandaDoc’s higher-end plans will far exceed their needs.

In this section, we’ll break down use cases by team to show where and how PandaDoc can fit into a specific workflow.

Small sales teams

PandaDoc is a good value for smaller sales teams that send proposals regularly and need more than basic e-signing tools.

The Business plan is usually the most relevant option because it adds CRM integrations, content tools, and approval workflows that can be essential for safe automation. By cost, the Business plan would run a team of five $245/month, or about $3,000 per year, with a nominal add-on fee if using Salesforce as the CRM.

The calculation is less favorable for teams sending only a few basic agreements each month. PandaDoc offers the strongest ROI when its workflow features can replace separate tools and eliminate repetitive, manual work. That usually means a full platform adoption, rather than using it as part of an unintegrated tech stack.

B2B teams with CRM needs

Teams who need to track, create, send, and track documents using CRM data will find that PandaDoc aligns almost perfectly with their needs.

PandaDoc offers integrations with popular CRM platforms, and all integrations except Salesforce are included in the Business plan. The HubSpot integration also offers an External Automation feature as a paid add-on for the Business plan, coming in at $39 per month/account.

Using these integrations, PandaDoc can pull customer and sales data from the CRM for immediate use in document templates. This eliminates the need for teams to constantly retype or copy/paste data between platforms, drastically reducing the manual work required to personalize a proposal.

PandaDoc can also keep document activity connected to CRM accounts and deal records, making it possible to track proposal progress without ever leaving the CRM dashboard.

Freelancers and solo operators

With some exemptions, most freelancers or solopreneurs will find the Free or Starter plans best suited to their needs.

The Free plan lets low-volume users collect secure, legally binding e-signatures for documents created in off-platform word processors like Microsoft Word or Google Docs. Freelancers who already have DOCX- or PDF-based contracts and proposals can upload those documents to PandaDoc, format them for e-signature and close the loop on their sales process at no cost.

For operators who want more control over proposal creation, the Starter plan gives full access to the drag-and-drop document editor, which can be used to upload documents, modify templates from the PandaDoc Template Library, or create new documentation entirely from scratch.

Agencies and proposal teams

Teams who regularly send a high volume of proposals and other sales documents will thrive with PanadDoc.

For agencies, the ability to create unique, interactive proposals is a powerful tool. PandaDoc allows broad customization of a document's look and feel, and you can set many branding standards as automatic account defaults for consistency across all documents and processes.

Proposal teams will also find the Business plan’s content library and collaboration tools useful for expediting sales flows. Documents, snippets, and multimedia can each be saved in the content library and added to a piece during proposal creation. Deal rooms, in-line commenting, and other collaboration tools also make it easier to push through the redlining process, reach consensus, and close deals even faster.

Most importantly, PandaDoc’s built-in automation solutions mean that one rep can handle more contracts at a time without struggling to keep up. That improved efficiency enables the team to bid on more jobs and pursue more contracts without increasing headcount.

Teams that get the most value from PandaDoc

PandaDoc offers the most value through automation and by keeping all aspects of document creation in one place.

When content creation, internal reviews, customer collaboration, e-signing, and payment are recurring parts of the same process and aligned on the same platform, every process becomes easier to manage.

Teams willing to take that leap and fully adopt the end-to-end workflow that PandaDoc can provide will see the best results.

PandaDoc offers strong value for

  • Sales teams sending 10 or more proposals each month. Regular proposal volume gives teams more opportunities to benefit from templates, reusable content, analytics, automated data entry, and unlimited document sends.

  • CRM-driven B2B organizations. Connecting documents to customer and deal records can reduce copy-and-paste work, improve accuracy, and give sales representatives a clearer view of document activity without switching constantly between platforms.

  • Agencies with polished, client-facing workflows. Custom branding, reusable proposal content, e-signatures, and payment collection help agencies deliver a more consistent experience from first contact.

  • HR and operations teams processing repeat documents. Offer letters, onboarding documents, approvals, waivers, and similar documents become easier to manage when teams can reuse approved templates and automatically route documents through predefined workflows.

  • Companies consolidating their tech stack. PandaDoc delivers strong value when it replaces separate tools used for proposals, e-signatures, document analytics, and other aspects common to modern document processes.

PandaDoc isn’t the best fit for

  • Occasional signers. Low-volume users may not need a paid plan, especially when the PandaDoc Free plan covers their monthly document needs.

  • Signature-only workflows. A dedicated e-signature service is often cheaper when the team only uploads completed files, adds signature fields, and sends them to recipients.

  • Small teams with basic document needs. Starter may be sufficient when users need unlimited documents and an editor but don't need CRM connectors, analytics, approvals, or shared content.

  • Buyers who want their tools to remain separate. PandaDoc’s cost-of-ownership argument weakens when the company intends to keep every existing document platform and use PandaDoc for only one small part of the workflow.

Why the Business plan is the most popular solution

PandaDoc’s Business plan is the most popular option because it includes a strong selection of features that help teams reduce manual work and consolidate document flows.

PandaDoc supports document creation, internal and external workflows and collaboration, document tracking, and payment collection. On top of that, integrations with CRMs and other popular platforms can further reduce workload by allowing seamless data transfer into PandaDoc documents.

Here are the standout features that most Business plan users rely on:

Native CRM integrations

PandaDoc Business can connect document creation with platforms like Salesforce, HubSpot, Pipedrive, and Microsoft Dynamics. These integrations help teams transfer sales data into documents and keep proposal activity tied to the relevant customer or deal record.

crm integrations

Document analytics

Teams can use document analytics to understand what happens between sending a proposal and receiving a decision. PandaDoc Business tracks recipient views, total time spent viewing a document, page-level engagement, downloads, and link clicks.

These signals let reps and managers see where external stakeholders may be getting hung up on specific deals, identify weak points in key documents, and time follow-ups based on user interactions.

Payment collection

Payment collection lets teams move directly from document acceptance to payment without additional paperwork. Reps can build pricing tables into proposals or invoices and include a method for immediate payment as part of the agreement.

Within PandaDoc, connected gateways handle payments. Provider processing fees will still apply. Even so, keeping the document and payment request together can reduce delays between a customer signing an agreement and completing the transaction to finalize a deal.

Approval workflows

Users with PandaDoc Business can configure a chain of custody and accountability that begins before documents are sent to external stakeholders. Teams can assign approvers, define a specific approval order, collect comments, and prevent documents from moving forward until the review process is complete.

Approval Workflows and Conditional Approvals

This feature is particularly useful when proposals contain negotiated terms, discounts, or pricing that exceeds certain thresholds. More advanced conditional routing options are also available as add-ons to the Business plan.

Custom branding and reusable content

Branded, reusable content improves the customer experience and drastically reduces risks that can occur when processes are manual. For example, if reps need to copy language from old documents or recreate important sections, they may do so without following approved wording and open the company up to legal exposure.

PandaDoc’s content library allows Business users to store frequently used pages, snippets, images, and legal clauses for insertion into later documents. Meanwhile, custom branding helps teams ensure those materials remain consistent with the company’s identity.

Used together, these tools can drastically reduce creation time while keeping clear guardrails in place around the more subtle aspects of document generation.

Pricing comparison: PandaDoc vs alternatives

Even though PandaDoc may be more expensive than some basic e-signature tools, it’s not the most expensive solution overall.

As discussed, some alternatives have lower advertised prices but offer a narrower feature set, which may require teams to purchase additional software.

Often, the most useful question is whether a platform can fit a team's business needs without introducing new limits or extra tools that won’t be used. Once product fit is established, it’s much easier to compare cost to need between PandaDoc and other potential alternatives.

PandaDoc vs Docusign

PandaDoc is comparable to Docusign at most price points, with a $4 difference separating PandaDoc Business and Docusign Business Pro. However, the difference in what teams receive for that small price change is substantial.

PandaDoc Business costs slightly more per seat but adds a full suite of features to cover most parts of the document process. A drag-and-drop editor, reusable content tools, approval workflows, deal rooms, and document analytics are all included for the price. Plus, PandaDoc includes truly unlimited e-signing with no annual restrictions on the number of documents that users can send.

Docusign sells solutions that teams could use for better document lifecycle management. Docusign CLM or IAM both offer some options for document creation and contract management, but they’re separate, enterprise-level solutions that will incur additional costs and fees far exceeding a PandaDoc subscription.

PandaDoc also offers contract management software to help users create, manage, and sign contracts. With a centralized contract repository, teams can organize and store contracts to stay up to date on contract expirations and renewals. With the AI Document Assistant and AI Data Extraction, you can ask questions and capture document details without searching through your contracts and proposals.

PandaDoc versus SignNow and Dropbox Sign

SignNow and Dropbox Sign are attractive options for teams who only need e-signature solutions. Both platforms offer annual plans starting well below PandaDoc Business, and both provide the core tools needed to upload documents, add fields, send signature requests, and store completed agreements.

There are still usage and plan differences to consider, though.

SignNow currently caps usage at 100 signature invites per user/year and charges for additional invites. Many of the platform’s premium features also require users to switch from a flat monthly rate to a per-document rate, which can complicate predictable pricing for teams.

Dropbox Sign is one of the few PandaDoc alternatives that genuinely offers unlimited signature requests on its paid plans. The problem is that the platform itself offers very little beyond that perk. User minimums on the Standard and Premium plans also drive up prices, so teams will need to have users on hand to fill those seats or be prepared to absorb those mandatory costs.

While PandaDoc Business is more expensive by comparison, the platform is also designed to manage far more than e-signing. The caveat is that teams that aren’t planning to use those features may be better served by lower-cost e-signature solutions like those listed here.

PandaDoc versus Proposify

Proposify is unique among PandaDoc alternatives because the two overlap a fair amount in document creation. Both platforms offer a powerful document editor, and both can create stunning proposals and contracts.

The price is also similar, with Proposify’s Team plan coming in at roughly $8 cheaper than the PandaDoc Business plan. Unfortunately, as with Docusign, it’s easy to miss the key features that appear due to the small difference in cost.

Proposify offers strong document-design features, including the ability to incorporate graphics, text, and media with its block-based builder. The platform can track, legally e-sign, and store any proposal created. A moderate selection of integrations is available, and team tools like multi-workspace deployments and SSO can be included in custom plans.

Unfortunately, problems center around onboarding and a narrower brand focus. Proposify doesn't support document uploads, which means all proposals and contracts a team intends to use with the platform will need to be rebuilt from scratch. Additionally, Proposify is primarily focused on sales proposals and is a poor fit for many other document types.

By contrast, PandaDoc is document agnostic. While sales proposals and contracts are a popular use case, HR, legal, finance, and other teams can also use PandaDoc to build on-brand documents. Plus, with PandaDoc, onboarding is fast and easy because users can upload DOCX files from modern word processors and use them as a starting point for further customization.

For the few dollars extra between these platforms, PandaDoc offers more versatility, more features, and a more powerful operating environment. For brands seeking an all-in-one solution — which Proposify is also trying to provide — PandaDoc is the clear choice.

Is PandaDoc worth the cost?

PandaDoc’s benefits far outweigh its costs, especially when compared to competitors and alternatives in the market.

Plus, as our customers can attest, the ROI from PandaDoc is well worth the cost.

Pilkington Law Firm used PandaDoc to streamline their document processes. Features like document automation and electronic signatures helped the firm improve document turnaround time by 5x, reduce errors, and increase productivity by 63%.

PandaDoc has allowed our law firm to seamlessly manage the Client Agreements and Invoicing. This has resulted in quicker turnaround times on executing at this stage, and beginning the application. Allowing the cilent to digitially coplete the documents has saved significant time and effort on both ends. We love it!

Frequently asked questions

  • PandaDoc is worth the cost for teams that regularly create proposals, collect e-signatures, and handle other aspects of the document workflow.

The main value comes from consolidating most document-related activities into a single platform. Teams that can use those all-in-one features will see a major uptick in efficiency and speed for a nominal cost.

  • PandaDoc is more expensive than many single-function electronic signature platforms. These solutions offer only e-signing and force users to handle other parts of the document process (creation, negotiation, storage, etc.) elsewhere.

When teams need a solution that can handle all aspects of the document flow, PandaDoc can cost less than purchasing an equivalent set of separate tools.

  • Yes, PandaDoc offers a Free plan that includes 60 document sends per year (5/month), along with e-signatures and up to five document templates.

It’s a useful option for occasional e-signers, but users who need better integrations or want to create documents on-platform will need to upgrade to the Starter or Business plan, based on their specific needs.

  • PandaDoc currently offers four pricing tiers:

    • Free at $0

    • Starter from $19 per user/month

    • Business from $49 per user/month

    • Enterprise with custom pricing

All pricing listed here is based on annual commitments. Monthly pricing is also available at a higher rate.

  • Docusign’s e-signing plans are slightly less expensive than PandaDoc but only offer e-signing options. They also come with strict usage caps and limitations that PandaDoc doesn’t have.
PandaDoc offers better overall value because it includes e-signing as part of its end-to-end process, alongside document creation and collaboration tools. PandaDoc also has no sending limits, so users can send more documents without worrying about extra charges or fees.

  • Yes. PandaDoc allows account owners to change plans, adjust seat counts, and update billing frequency from the settings.

Upgrades can take effect immediately, but reductions and downgrades generally apply at the next billing cycle. Enterprise or managed accounts may need assistance from their PandaDoc rep.

  • Annual billing lowers PandaDoc’s effective monthly rate.

    • Starter costs $19 per user per month annually instead of $35 monthly, saving about 46%.

    • Business costs $49 per user per month annually instead of $65 per user per month monthly, saving approximately 25%.

Monthly billing offers more flexibility, but annual billing provides the lower total subscription cost. If you’re sure that PandaDoc is the right fit for your business, annual billing is the best way to keep costs down.

  • PandaDoc charges per seat for Starter and Business, so each internal user with an assigned license contributes to the subscription cost.

This doesn’t apply to external collaborators. Individuals you invite to review or comment on specific documents won’t be true users in the workspace, but they can use PandaDoc tools to view and sign documents without purchasing seats.

Enterprise offers more flexible pricing arrangements, including per-document configurations.

  • As with most modern platforms, you can cancel in your PandaDoc account, but it may not take effect immediately.

A channeled plan will still run its full course, meaning that if you cancel six months into a year-long commitment, you’ll still have access to your current plan and all its features until that contract expires.

After cancellation, you’ll still be able to log in and access documents, but other PandaDoc features will be restricted to Free plan functionality.
